Contact details in tender notices

If your name or work email appears on Coira and you have never used it, this page explains how that happened and how to have it removed.

Where this came from

Coira collects published public procurement notices — the notices contracting authorities are required to publish when they put work out to tender. Those notices routinely name a contact person at the authority, with a work email address and sometimes a direct telephone number, so that firms intending to bid can ask questions.

If your details are on Coira, they are there because your employer published them on a tender notice. We did not obtain them from you, we did not buy them, and we have not combined them with anything from another source.

What we do with it, and what we do not

  • We reproduce the notice so that firms looking for work can find and compare tenders. The contact field is carried with it, unchanged.
  • We do not market to you. Coira does not send you email, and your address is not used to contact you for any purpose of ours.
  • We do not build a profile. Your details are not enriched, cross- referenced against other sources, scored, or linked to anything about you personally.
  • We do not sell it. The contact field is not extracted, packaged or offered as a list.

The legal basis is legitimate interests: making published tender information findable for the firms it was published for. We have weighed that against your rights and written the assessment down, including the parts that count against us.

How long we keep it

The contact details are cleared once the tender they belong to has been closed for a set period. The reason your address is published at all is so a bidder can ask a question about that tender, and that reason ends when the tender closes.

Having your details removed

You can object, and you do not need an account, a reason, or to prove anything. Enter the address as it appears on the notice and it will stop being published.

What happens is worth stating precisely, because the obvious approach does not work. These notices are re-read from their public source on a schedule, so simply deleting the field would put it back within days. Instead, the address is added to a list that is checked every single time notices are refreshed — so it is removed now and it stays removed. The tender notice itself remains, because it is a public procurement record; only the named contact details go.
